Everything an HOA needs.
Nothing it doesn't.
We didn't bolt HOA features onto a property-management suite or a generic accounting tool. SMPLR HOA is organized around the four things you do every week — and the seams between them are where the magic happens.
Property Management
Every home, every owner, every authorized resident — one record per address with full ownership history.
Communications
Email, SMS, phone, and USPS mail land in one shared inbox — organized by home, not by channel.
Financials
A real HOA general ledger — invoicing, online payments, bank reconciliation, budgets, and the reports your auditor expects.
Operations
Requests, violations, governance, and the documents that keep your community running.
The single source of truth for every home in your community.
One record per unit. Ownership history, occupancy, current residents, assigned amenities, ACC restrictions, and every dollar the home has ever paid or owed — all on one page, all in sync.
- Unit roster with addresses, lot numbers, deed types, and current occupancy status (owner, tenant, vacant).
- Ownership history automatically updated from county records and closing packets — never re-key a new owner.
- Resident accounts for tenants & family members who get portal access without becoming the legal owner of record.
- Amenity assignments — pool fobs, parking spots, storage units — tied to the home, not a spreadsheet.
- Per-unit ledger rolls up every charge, payment, violation, and request for that address.

Real HOA accounting — without QuickBooks gymnastics.
A full HOA-specific general ledger with the reports your auditor expects, the late-fee logic your CC&Rs require, and the payment rails residents actually use. Sync to QuickBooks nightly if you'd rather keep your CPA where they are.
- Invoicing — recurring dues, special assessments, late fees, and one-off charges, all on the same statement.
- Online payments via Stripe — ACH, Visa/MC/Amex/Discover, Apple Pay, Google Pay, and a real lockbox for paper checks.
- Bank reconciliation — Plaid-linked accounts, auto-matched deposits, and a one-click "explain the variance."
- Reserve fund tracking with target funding by component, projected shortfall, and audit-grade snapshots.
- QuickBooks sync — daily, two-way. Keep your CPA's GL; let SMPLR handle owner-side billing.
Every channel. One thread per home.
Email, SMS, phone, and USPS mail land in one shared inbox — organized by home, not by inbox. The board, the manager, and the homeowner are never reading three different stories.
- Inbound email from your custom
community@address, parsed and threaded to the right unit automatically. - SMS & broadcast text via verified Twilio numbers — opt-in, audit-logged, never to unverified numbers.
- Phone — a community number with voicemail-to-thread transcripts, so calls don't end up on someone's personal cell.
- USPS Certified Mail for violation letters and demand notices — printed, mailed, tracked from the same screen.
- Broadcast templates with merge fields, AB-list segmentation, and a real "send to a test group first" button.
From W-9 to 1099-NEC, without leaving the app.
Every vendor — Aqua-Tek, your landscaper, the locksmith — gets a real record with COI dates, payment history, contract files, and the tax forms you'll need in January. Mail a check or e-file a 1099 without opening anything else.
- W-9 collection — vendors complete it from a link, signed and stored. No more "I'll email it to you."
- 1099-NEC e-filing in January — totals roll up from the ledger automatically; you approve and we file.
- Mailed paper checks via USPS — printed, signed digitally, postmarked from your community's name. Flat $2.00 per check.
- COI tracking — insurance certificates with expiration alerts so an uninsured contractor never picks up a hammer on your property.
- Per-vendor ledger rolls up every check, every invoice, every job — searchable from any board member's phone.

Maintenance, violations, ARC — on one board.
Homeowners snap a photo. SMPLR routes it to the right vendor or the right ARC committee, opens the ticket, and posts every update back to the home's thread. No PDFs lost in inboxes; no violations that quietly go cold.
- Maintenance requests — photo in, vendor out, SLA tracked. Closed tickets auto-archive to the unit ledger.
- Violations — rule lookup, citation drafts, escalation calendar, and certified mail in one flow.
- Architectural review — request to vote to letter, with quorum logic and board-vote tracking baked in.
- SLA & escalations — auto-bump if a ticket idles past your CC&R deadlines.
- Per-vendor dispatch with auto-quote requests, scheduling links, and one-click work order PDFs.
Walk in with an agenda. Walk out with the minutes.
Built-in video conferencing for hybrid board meetings, full attendance + motion + vote tracking, and AI-drafted minutes emailed to every homeowner before you finish the closing motion.
- Video conferencing — embedded Whereby rooms, no extra software, dial-in numbers for the board member with bad WiFi.
- Attendance & quorum — check-ins logged automatically, quorum math handled in real time.
- Motion + vote tracking — record motions, second, votes, abstentions. Tallied live and saved to the minutes.
- AI meeting minutes — Milo drafts the minutes from the transcript, assigns action items, and emails the packet.
- Public agenda + executive session — separate threads, same record, same notice-of-meeting workflow.
The rest of what's in the box.
Every feature on this page — every feature on the next list — is included on every plan. No add-on pricing, no "Pro tier" surprises, no per-feature upcharges.
Document storage
Unlimited storage for CC&Rs, bylaws, ARC packets, insurance — searchable, version-tracked.
Voting & surveys
Anonymous ballots, weighted voting, quorum logic, and live results for board elections.
Reserve study tracking
Componentized funding plan, projected shortfall, audit-grade snapshots quarter by quarter.
Amenity & key tracking
Pool fobs, gate codes, parking spots, storage. Tied to the unit — not a binder.
Violation enforcement
Rule library, citation drafts, certified mail, and an escalation calendar your CC&Rs respect.
Board & resident portals
Two interfaces, one platform. Residents see their home; the board sees the community.
Audit-grade reporting
Balance sheet, P&L, AR aging, reserve study, and a single-click export your CPA already knows.
Multi-association
Run a portfolio: shared vendor list, per-tenant ledger, client-billed pricing for managers.
New-owner onboarding
Closing packets, CC&R acknowledgment via BoldSign, welcome notes, and HOA cert in one flow.
Calendar & notice rules
Notice-of-meeting timing per state, board cycle, and auto-scheduled annual meeting reminders.
QuickBooks sync
Two-way nightly sync. Keep your CPA where they are; let SMPLR do owner-facing billing.
Community map
Click a lot, see the home. Useful for boards, useful for new owners trying to find pool gate #2.
The infrastructure your CPA already trusts.
We don't reinvent payments, mail, or telephony. SMPLR sits on the same rails Stripe, Twilio, Resend, Lob, and QuickBooks have spent a decade hardening — so your money, mail, and messages are as reliable as the rest of the internet.
Your homeowners' data, treated like the deed.
Every dollar, message, and document flows through tenant-isolated storage, role-based access, and audit logs that don't go away. We store payment tokens — never card numbers — and your residents never see another HOA's information.
SOC 2 Type II (in process)
Monitored continuously by Vanta. SAST, RLS validation, and credential scanning run on every commit.
Row-level tenant isolation
Every query — every report, every export — is scoped to your community via Postgres RLS. Defense in depth, not a hope.
Bank-grade payments
Card and bank data never touch our servers. Stripe handles the surface; we store tokens and reconciliation references.
What boards ask first.
Eight questions we get on every demo. If yours isn't here, the team is one click away — and yes, real humans answer.
Talk to a real humanIs everything on this page included on every plan?
Yes. Every feature on this page — every module, every integration — is included on every SMPLR plan from 25 homes to 4,000+. No 'Pro' tier, no per-feature add-ons, no surprise lines on the invoice.
Can it actually replace QuickBooks for our HOA?
For most HOAs, yes. SMPLR has an HOA-specific general ledger, reserve fund tracking, AR aging, and the financial reports your auditor expects. If you'd rather keep QuickBooks where your CPA already lives, we sync to it nightly — two-way.
How does the AI minutes feature actually work?
Record the meeting from any phone — in person, on Whereby, or hybrid. The transcript is processed on our private inference cluster, never sent to a third-party model with your community's data in the prompt. Milo drafts the minutes, attaches motions and votes, and you approve in one screen.
What about residents who don't want to use an app?
Every channel works two ways. Owners can pay by paper check to the SMPLR lockbox, get violation notices in the mail via USPS Certified, and reply by SMS to the community phone number — no portal login required. The board sees it all in one inbox.
We're switching from a property manager — how does migration work?
White-glove and included. Hand us your last twelve months of bank statements, your owner roster, your CC&Rs, and your last AGM minutes. We migrate the ledger, the unit records, the violation history, and the document vault — typically in under two weeks.
How are 1099-NECs handled?
Vendor totals roll up from the ledger in real time. In early January, you approve the list, fix any W-9 gaps from a single screen, and SMPLR e-files the 1099-NECs with the IRS plus mails the recipient copies via USPS. No spreadsheet, no tax-software round-trip.
Can a management company run multiple HOAs on it?
Yes — that's the Multi-Portfolio plan. Same product, with portfolio dashboards, per-tenant ledgers, client-billed pricing, and white-label resident portals at each community's own domain.
What about state-specific rules — Texas Property Code, Davis-Stirling, FS720?
Notice timing, lien procedures, and meeting rules are encoded per state on the calendar & violation modules. Oklahoma is configured today, and we build out each new state as communities come on — Texas, California, and Florida rule sets included. If your state isn't configured yet, we do it during your migration at no charge.
Start with one community. Or all forty.
